GFA-Tiller is implementing a German Development Cooperation (GIZ) funded technical cooperation project Climate Resilient Inclusive Smart Cities (CRISC) in Bangladesh (November 2019 – October 2022). For administering the project, we are inviting applications from eligible candidates for the position of Project Assistant.

Job Responsibilities

  • seeing that the service in the office is provided correctly and in accordance with GIZ and GFA financial management and accounting procedures
  • organizing and coordinating all work stages including travel, field trips, procurement, meetings, financial management
  • responsible for the financial management of the expenses of the office
  • ensuring good communication and flow of information within the project and with GFA headquarters in Hamburg
  • filing documents in reference files
  • assisting the key experts and short term experts in their administrative tasks (e.g. procuring tickets)
  • The office assistant performs the following tasks:

  • The office assistant
  • Is responsible for handling the monthly cash book (journal) together with the team leader
  • Handles office expenditures and payments such as rent, events, operational costs, and documents these according to GFA standard procedures
  • prepares transfers and/or other bank documents and checks these before execution
  • makes monthly payments and foreign currency transactions and optimizes these
  • is responsible for administrative aspects of financial management, e.g. bank withdrawals, direct debit orders
  • checks unexpected entries in the cash book

  • The office assistant
  • organizes and coordinates appointments for the experts
  • answers, reviews, forwards, and/or takes calls
  • manages incoming and outgoing correspondence and replies to and looks after correspondence
  • prepares and organizes information materials for experts and/or meetings
  • helps organize events and document meetings, workshops and seminars
  • supports the travel of staff, short term experts and others: procures tickets for domestic and international travel, reserves hotels, rental cars etc., organize visas and other necessary permits and documents, assists in looking for accommodation
  • participates in internal and external (team) meetings and workshops and assists with documenting these, e.g. by writing minutes
  • photocopies and scans documents as needed
  • coordinates driver schedules and ensures that experts arriving in the country are picked up
  • prepares and supports the organization of backstopping missions

Educational Requirements

  • Bachelor of Business Administration (BBA) in Management or Economics
  • Skills Required: Admin and Accounts, cash management, Documentation Skills, English, Finance Management, IT System Management, Office Management

Experience Requirements

  • At least 3 year(s)

Additional Requirements

  • Age at least 25 years
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • Very good management skills
  • Very good communication skills
  • Confidential handling of information on staff and finances
  • Very good knowledge of English and Bengali
